A new owner may later ask about a policy packet, appraisal notice, tax statement, mailing address, homestead form, property-alert notice or recorded-document clue. This handoff helps the sender preserve the official source and ask one clean routing question without trying to decide the legal, tax, coverage or title answer.

Send the property, the owner-record source, the checked date and the first question. The issued policy, county records, appraisal district, tax office, lender, underwriter and legal counsel still control their own lanes.

A post-closing policy question should start with the actual policy packet.

TDI says an owner's policy protects the homeowner, is good for as long as the owner owns the property, and that a paper copy may arrive about 30 days after closing. TDI also tells owners to read the policy and keep it with other important house documents.

The commitment and the issued policy are different records.

TDI explains that the title commitment comes before closing, while the policy is issued after closing. A record-care handoff should identify whether the question is about a commitment item, an issued policy, a recorded document or a later public-record clue.

Tax-office context belongs in the packet, not in a tax conclusion.

The Collin County Tax Assessor page says property-tax statements are mailed in October, points owners to the tax account lookup and Collin CAD property information, and notes that the homestead-exemption application is filed with the appraisal district with no fee.

Collin CAD says mailing-address changes are not made by phone and asks for the property address or account number, new mailing address, printed owner name, signature and daytime phone number in writing.

The appraisal notice is a source clue, not a title answer.

Collin CAD's 2026 notice page says real-property Notices of Appraised Value were mailed on April 15th. A later sale, refinance or ownership question should preserve the notice, account and mailing clues without turning them into tax, title or exemption advice.

Give the reviewer a source packet, not a conclusion.

The best owner-record note is short, dated and tied to the exact public or closing source that raised the question. That makes it easier to route the item to title, escrow, county, appraisal, tax, lender or attorney review.

  1. Property address, county, owner name as shown in the closing packet, Collin CAD account or property ID if available, and the best mailing address currently being used
  2. Whether the question is about the title commitment, issued owner policy, recorded deed, tax account, appraisal notice, mailing address, homestead form, property alert or post-closing title-team follow-up
  3. Date closed, date the policy packet arrived or was expected, date the public record was checked, and the date on any appraisal or tax-office notice
  4. Official source link or document reference: Collin CAD, Collin Tax Office, County Clerk, TDI, the issued policy, the closing disclosure or the recorded-document reference
  5. One routing question: what should the title team, escrow team, county office, appraisal district, tax office, lender or attorney help identify next?
What to avoid

Keep sensitive data and conclusions out of the first public note.

  • Do not ask the public form to decide coverage, tax liability, exemption eligibility, ownership, lien validity, lien priority, fraud, forgery, marketability or insurability.
  • Do not paste Social Security numbers, driver's-license numbers, account numbers, wire instructions, portal passwords, tax returns, identity documents or private client files.
  • Do not treat a property-tax page, CAD account, appraisal notice, mailing-address request, online record or alert email as the complete title record.
  • Do not offer or request a rebate, discount, commission, gift or any other benefit for sending the question or future closing.
