Make the public-hearing clue easy to route.

A strong note is short, public and tied to a property. It does not need to solve the city, county, survey, access, lender, title, escrow or legal issue before the title team sees it.

  1. Property address, city, county, parcel, case number, agenda item, public-hearing date, nearby road, neighborhood or posted map clue
  2. Public source link, date checked, meeting body, posted hearing or agenda date and the exact replat, zoning, plat, road, drainage, utility, tax-certification, deed or permit fact the sender is relying on
  3. Transaction lane: listing, purchase, refinance, builder file, developer file, acreage tract, investor file, lender request, attorney matter or homeowner question
  4. Known timing pressure: contract date, lender deadline, survey status, title commitment status, agenda date, public-hearing date, plat-review item or first public-record follow-up
  5. One process question: what should the title team, escrow team, lender, surveyor, county or city office, underwriter or attorney help identify next?
What to avoid

Keep public-action conclusions out of the first note.
