Make the request history visible.

A good HOA handoff is not a legal memo. It is a short, sourced note that tells the title team what association document issue may affect timing and where the file stands today.

  1. Property address, county, subdivision name and whether mandatory property owners' association membership is known or suspected
  2. Association or management-company contact, order portal link, account number or request reference already available
  3. Who requested the resale certificate or subdivision information, when it was requested, and whether the association has the authority/payment it asked for
  4. Contract status, target closing date, option-period pressure and lender or buyer timing concern
  5. One process question for the title team: what should be checked, ordered or escalated next?
What to avoid

Keep association conclusions out of the first note.

  • Do not call this a condominium resale-certificate guide.
  • Do not promise that an association will deliver by a specific date.
  • Do not decide whether a fee, restriction, assessment or transfer requirement is enforceable.
  • Do not offer a gift, discount, rebate, commission or other benefit for sending the file.
