What to send

Build a packet the closing team can route in one pass.

The best survey handoff is short, dated and tied to the actual file. It does not ask the public form to read the survey. It tells the team what exists, what source prompted the question and who needs the next answer.

  1. Property address, county, contract effective date, target closing date and whether this is purchase, refinance, estate, investor, builder or commercial work
  2. Survey date, surveyor name, survey company, seal or registration clue, revision date and whether the file has a full PDF, partial page, plat, exhibit or no survey located
  3. Contract or lender context: who is asking, what paragraph or condition prompted the request, and whether a new survey, old survey, affidavit or title-review question is in play
  4. Commitment context: GF or commitment number, Schedule B or Schedule C item number, legal-description clue, easement clue, access note or other exact source reference
  5. One practical process question: what does the title team, escrow team, lender, surveyor, underwriter or attorney need to route next?
What to avoid

Keep survey conclusions and private documents out of the first public note.

  • Do not use the public form to decide a boundary, acreage, encroachment, access, easement, fence, driveway, setback, improvement, survey-coverage or legal-description dispute.
  • Do not assume an old survey, seller affidavit, plat, legal description, lender note or title-commitment item is acceptable for a new file.
  • Do not paste wire instructions, account numbers, taxpayer credentials, Social Security numbers, identity-document numbers, confidential contracts, full commitment text or client documents.
  • Do not offer or request a rebate, discount, commission, gift or any other benefit for sending the question or future closing.
