What to send

Make a register the closer can sort quickly.

The best exception note identifies exactly where the question lives and what source material is already attached. That makes it easier to route the item to title, escrow, lender, underwriting, survey or attorney review without turning the public note into an opinion request.

  1. Property address, county, contract lane, GF or commitment number, issuing title company and commitment effective date
  2. Schedule B item numbers, Schedule C item numbers and whether each item has a source instrument, survey reference, tax clue, entity clue, payoff clue or other attachment
  3. The source file you already have: complete commitment PDF, recorded instrument, survey, exhibit, payoff statement, entity record, tax source, lender note or attorney packet
  4. Timing pressure: option or feasibility deadline, lender condition date, target closing date, seller response date or attorney review window
  5. One process question for routing: what does the title team, escrow team, lender, underwriter, surveyor or attorney need next?
What to avoid

Keep legal conclusions and private documents out of the first public note.

  • Do not use the public form to decide whether an exception is routine, removable, insured, acceptable, legally valid or tied to a specific remedy.
  • Do not paste full exception text, confidential contracts, wire instructions, account numbers, taxpayer credentials, Social Security numbers or identity-document numbers.
  • Do not assume a source instrument, survey, release, payoff, tax record, entity record or attorney note satisfies a Schedule C requirement.
  • Do not offer or request a rebate, discount, commission, gift or any other benefit for sending the question or future closing.
